Booking Classes
"Is there room in the 6pm yoga?"
Members used to have to call, text, or ask at the front desk. Then wait for someone to check. Then hope the spot didn't get taken while they were waiting.
Now they just open the app, see what's available, and book. Three taps, done.
The Member Experience
Finding Classes
Members can browse classes by:
- Day — "What's happening tomorrow?"
- Type — "Show me all the spin classes"
- Instructor — "When is Sarah teaching?"
- Time — "What's available after 5pm?"
Each class shows:
HIIT Express

45 minutes | Sarah Johnson
8 spots remaining
[Book Now]
Or if it's full:
Yoga Flow
Tuesday, Jan 21 at 7:00 PM

Real-time availability. No guessing.
Booking a Class
When There's Room
Jessica wants to join Tuesday's HIIT class. She sees 8 spots remaining.
She taps "Book Now."
That's it. Here's what happens:
- Her spot is reserved immediately
- One credit is deducted from her account
- She gets a confirmation (email and/or push notification)
- The class now shows "7 spots remaining" for everyone else

When It's Full
Jessica also wants the Tuesday yoga class, but it's full.
She taps "Join Waitlist."
- She's added to the waitlist (position #3)
- She gets confirmation of her waitlist position
- If someone cancels, she moves up automatically

Cancelling a Booking
More Than 24 Hours Out
Jessica realizes she can't make Thursday's spin class. It's still 3 days away.
She taps "Cancel."
- Her spot is released
- Her credit is returned
- The next person on the waitlist (if any) gets promoted
- She gets a cancellation confirmation
Easy. No penalty. Credit back immediately.
Less Than 24 Hours Out
It's Wednesday night. Jessica remembers she has a conflict with tomorrow's HIIT class.
She taps "Cancel."
- Her spot is released
- Credit is NOT returned (late cancellation policy)
- Next waitlist person gets promoted
- She gets confirmation with a note about the policy
The same 24-hour rule that applies to PT sessions applies here. See Session Handling for details.
Emergency Situations
Something urgent comes up and Jessica needs to cancel last-minute for a legitimate reason? Staff can override the late cancellation policy and return her credit. But that's a staff decision, not something members can do themselves.
Class Reminders
Members get reminders before their classes:
- 24 hours before — "Reminder: HIIT Express tomorrow at 6pm"
- 2 hours before (optional) — "Your class starts in 2 hours"
Reminders help reduce no-shows. Members who can't make it have time to cancel and let someone from the waitlist take their spot.
Credits for Classes
Classes use the same credit system as PT sessions:
- Weekly credits — "3 classes per week" works just like "3 PT sessions per week"
- Credit tracking — Every class booking is logged with which credit was used
- Refunds — Cancelled classes return credits to the right bucket
If your gym has separate credit pools for classes vs. PT, the member sees both:
Your Credits
───────────────────────────────────────
PT Sessions: 2 remaining this week
Group Classes: 4 remaining this week
───────────────────────────────────────
Or if you use universal credits:
Your Credits
───────────────────────────────────────
Sessions: 5 remaining this week
(Valid for PT or Group Classes)
───────────────────────────────────────
Common Scenarios
"I Booked the Wrong Class"
Jessica accidentally booked the 6pm HIIT instead of the 7pm. No problem—cancel the 6pm (credit returned), book the 7pm. Takes 30 seconds.
"I Want to Bring a Friend"
Jessica's friend wants to try a class. Two options:
- Guest pass — Jessica buys a guest pass, friend attends as a guest
- Friend signs up — Friend creates their own account and books
Either way, each person has their own booking. No "plus ones" that mess up the headcount.
"The Class I Want Is Always Full"
If Jessica keeps finding her favorite class full, she should:
- Book earlier in the week when spots open
- Join the waitlist—she might get in when someone cancels
- Talk to the gym about adding another session of that class
The waitlist data helps you see which classes need more capacity.
"I Forgot I Had a Class"
Jessica no-showed for yoga on Saturday. Here's what happens:
- Instructor marks her as no-show after class
- Her credit is not returned (she booked the spot)
- Her no-show is recorded
- If this happens repeatedly, you might have a conversation with her
The system tracks patterns. Occasional forgetfulness is human. Chronic no-shows waste everyone's time.
What Members Love About This
"I used to text the front desk and wait to hear back. Now I just book on my phone while I'm thinking about it."
"The waitlist actually works. I got into a full class twice last month because people cancelled."
"I can see my whole week of classes in one place. Way easier than trying to remember what I signed up for."
